The bottom row of boxes is dark several inches up the sides

Paper wicks water upward fast, so a shallow puddle can soak the lower third of a box. The cardboard shows the line long before the files feel wet.

Pages have swollen and the box will not close

Cellulose fibers take on water and expand, which is why a wet file expands beyond its folder. Swollen paper under pressure sets into that shape permanently.

Handwritten or inkjet pages are feathering

Water soluble ink spreads at the edges of every stroke before anything dries. Once it has migrated into the fiber the character loss cannot be reversed.

Glossy pages are stuck together in a solid block

Freeze stabilization as the first move

Blast freezing at commercial temperatures halts swelling, ink migration and microbial growth where they are. Freezing does not dry anything, and that is fine, because it buys you weeks to make decisions.

Inventory and chain of custody on every container

Each box is numbered, described and logged onto an inventory manifest before it leaves the building. Transfers are signed, access is restricted, and the manifest is what we reconcile against on return.

Correct packing that protects the block

Files go in upright and loose, bound volumes go spine down, and freezer paper is used for interleaving where sheets would otherwise fuse.

Vacuum freeze drying for saturated records

Frozen records go into a chamber where low pressure lets ice leave as vapor without melting first.

Desiccant chamber drying for damp volumes

Lightly damp files and books can be dried in a controlled desiccant chamber at very low humidity. It is faster and cheaper than a vacuum cycle when nothing was truly soaked.

Drying is priced by the space the records occupy, and a standard file box is roughly 1.2 cubic feet.
How wet the paper is
Damp files can go to a desiccant chamber, which is cheaper and faster. Saturated paper needs a full vacuum freeze drying cycle.
The mix of media
Plain office paper is straightforward. Bound volumes, coated paper, blueprints and mixed folders take hand work and slower cycles.
Water category and contamination
Clean water records are dried and returned. Records touched by sewage or floodwater need sterilization, and that is a separate line and a separate facility.
Rush handling
A same day pickup, an out of hours freeze or a priority chamber slot for a small critical batch all carry a premium.
Pickup, transport and distance
Someone has to inventory, pack, load and haul the boxes to freezing, and mileage matters. Very small quantities can sometimes be handled on site instead.

How much does document drying cost per box?

Nationally, vacuum freeze drying runs about $20 to $40 per cubic foot, which is roughly $25 to $50 for a standard file box.

Why do you freeze wet documents instead of drying them right away?

Because freezing stops the clock. Below freezing, paper stops swelling, ink stops migrating, and microbial growth stops advancing.

Does freezing damage paper?

No, and the speed is the reason. Rapid blast freezing forms very small ice crystals, while slow freezing in a domestic freezer grows large ones that distort the fiber.

What is vacuum freeze drying in plain words?

Frozen records go into a sealed chamber and the air pressure is lowered a long way. At that low pressure ice turns straight into vapor instead of melting first, which is called sublimation.

How long does the whole process take?

Freezing happens the same day in most cases. A chamber cycle usually runs one to three weeks, and large volumes take longer.

Can I dry the files myself with fans or a hair dryer?

A few damp folders can be air dried with interleaving and dry moving air, and we will tell you honestly when that is enough.

What kinds of records recover well, and what does not?

Plain paper files, ledgers, bound volumes and most office records come back well. Coated and glossy paper that fully dried while stuck together is the worst case, because blocking rarely separates.
